This Privacy Policy applies solely to the FLTDOC (Flight Document Assistant) internal application, owned and operated by KL Leung Holdings LTD. This application is intended strictly for the use of authorized employees and system administrators.

FLTDOC is designed for operational efficiency and collects only the minimum amount of personal data necessary to provide and secure the service.

A. Information We Collect (User Accounts)

When an account is created by a system administrator, we collect the following:

  • Username (Alias): Used for login and system identification.
  • Company Email Address: Used solely for password recovery and initial account setup (Welcome Email).
  • Hashed Password: Stored securely and non-reversible.

B. Operational Data

We collect and store operational metadata related to the application's core functions:

  • PDF Generation Metadata: Data input into the PDF forms (e.g., flight numbers, weights) is stored temporarily to generate and log flight documents.
  • Log Data: Access attempts, login status, and system errors are logged for security and maintenance purposes.
  • IP Addresses: Collected for security purposes (e.g., preventing brute-force attacks and monitoring login access).

2. Data Storage and Security

  • Storage Location: All data is stored securely in an internal database hosted on our private cloud infrastructure (AWS Lightsail/Docker).
  • Security Measures: We use secure hashing for passwords, implement strong session management, and enforce login attempt limits.

3. Data Sharing (No External Sharing)

We do not share, sell, or rent any personal data collected by FLTDOC with external third parties.

  • Internal Sharing: Data is only accessible to authorized system administrators and is used solely for the purpose of maintaining the application and providing operational support.
